How we built the Businesswomen Collaboration Platform and boosted mentorship engagement by 35%

The starting point

Mentorship has the power to change lives. Yet many programs stall before they deliver real impact. And the problem isn’t a lack of goodwill, it’s the way these initiatives are run.

Too often, mentorship programs run on inefficient tools. Everyone gets stuck in the same one-size-fits-all system. Conversations drift across emails and chat threads. Scheduling slips into a cycle of missed calls. And admins end up fixing problems instead of building the community.

That’s where our client, an international initiative supporting women entrepreneurs, decided to draw the line. They needed a better way to scale mentorship without losing its heart. Together, we built the Businesswomen Collaboration Platform. It is a dedicated application where mentors and mentees can connect, book sessions, and share knowledge, while organizers finally gain the clarity and control to grow programs with confidence.

Priorities behind the build

Our client didn’t need just another mentorship app, they needed one that people would actually want to use. That meant building something intuitive for mentors, helpful for mentees, and easy to manage for organizers. To make that happen, we focused on four key priorities:

The app had to be customizable at the user level. Mentors and mentees have different goals and workflows, so the platform needed to adapt without adding clutter.

A good mentorship chat shouldn’t get buried in email threads. The messaging must be built right into the platform, so mentors and mentees can talk where the work actually happens without switching tools.

  1. Built-in scheduling

No mentorship can run without meetings, but managing calendars across apps can create friction. Thus, a proprietary booking system must be designed within the platform, making it easier to book, schedule, and stay on track with minimal effort.

  1. Admin control

Behind every program is someone trying to keep it together. Spreadsheets won’t cut it. Organizers needed a panel with clear metrics and simple controls, something that shows what’s happening and lets them step in before problems pile up.

We didn’t just want a static feed, it had to feel alive, like the pulse of the community. People can drop quick updates, share files when they need to, or even throw in an emoji to keep things light. And because comments are built in, posts turn into real conversations instead of announcements lost in the scroll. In practice, this keeps mentees coming back and gives mentors an easy way to spread knowledge without extra effort.

  • Integrated scheduling system

We hooked Calendly and Google Calendar straight into the platform, so scheduling works the way it should. Booking, rescheduling, or cancelling takes only a couple of clicks, and notifications go out automatically, so no one is left guessing. This integration removes the back-and-forth of email scheduling and ensures mentorship sessions actually happen on time.

  • Smart matching algorithm

At the core of the platform is a matching system that pairs mentors and mentees based on goals, expertise, and availability. Instead of random assignments or manual pairing, the algorithm ensures that connections start off strong and stay relevant. This not only improves the quality of mentorship relationships but also increases retention and overall engagement across the program.

  • Direct communication and collaboration

Mentorship only works when people can talk at the right time. That’s why we built messaging directly into the platform. One-on-one chats, group threads, and file sharing, all secure and moderated. Everything happens in one place, so conversations stay safe and focused, and relationships grow without the distraction of jumping between apps.

  • Internationalization

Because the platform is used internationally, we built in full bilingual support for English and Spanish. Menus, buttons, and system messages switch automatically to match each user’s language preference. That way, people can talk in the language they’re most comfortable with and still keep the flow of the conversation intact.

  • Admin panel and user management

For organizers, we built a comprehensive admin panel that turns scattered data into clear insights. Engagement metrics show who’s most active, which mentor categories are in demand, and the total level of community participation. From the same dashboard, admins can moderate the feed, remove users when needed, send direct messages to the entire community, and even customize the welcome experience.

The real value, though, is visibility. Instead of guessing, organizers can see exactly where connections are forming, how resources are being used, and where attention is needed most. It gives program managers that mentorship isn’t just happening, it’s creating measurable impact.

From launch, the platform started delivering measurable value:

The core matching algorithm paired mentors and mentees based on goals, expertise, and availability. With structured sessions, automated follow-ups, and an active community feed layered on top, mentorship turned into a continuous journey rather than one-off conversations. Attendance rates rose by an estimated 35%, while message activity increased by over 40%. For participants, mentorship became a proven accelerator for growth instead of just a passing interaction.

  • Accessibility without barriers

We designed the platform so people could actually use it the way they wanted. It supports two languages, different session formats, and custom resources, enough flexibility that no one feels forced into the same pattern. Convenient scheduling and real-time messaging made it easy for people to join on their own terms.

Because of that, the number of mentees joining from outside the original regions nearly doubled. Geography, cost, and cultural differences stopped being barriers, and the program opened up to a much wider community.
